Responsible for receiving, processing and verifying incoming Invoices. Reconciles invoices where 3-way match is required. Reviews for missing receipts, quantity and pricing differences. Review coding and data entry of Non PO invoices from the Districts. Works with Purchasing, Receiving and Management to ensure timely and accurate entry and vendor payments. Responsible for any new projects as the Accounts Payable Supervisor deems them necessary.

Key Job Functions:

  • Reviews invoices for accurate billing. Verifies coding is complete and purchase orders, where applicable, are noted.
  • Monitors invoice workflow (Filestream) submitting invoices to appropriate District workflow for processing.
  • Data Entry of Purchase Order related invoices, verify and reconciling information where needed working with Management, Purchasing and Receiving.
  • Reviews coding and documentation of Non PO invoices and Purchase Orders prior to posting. Ensures invoices are attached in SAP
  • Enters correcting entries and credit memos, and then clears the vendor card.
  • Reviews vendor information to ensure accuracy of Master Data in SAP, submitting changes for corrections where needed.
  • Works with Supervisor on stop payments, EFT and Wire returns.
  • Assists with Vendor exception reporting and processing weekly payment files.
  • Prints and mails weekly checks.
  • Meets Month End Deadlines set by Management.
  • Verifies vendor accounts by reconciling monthly statements and related transactions.
  • Communicates written and verbally with internal and external customers.
  • Protects organization's value by keeping information confidential.
  • Updates job knowledge by participating in educational opportunities.
  • Accomplishes accounting and organization mission by completing related results as needed.

Qualifications:

  • High School Diploma
  • Minimum 5 years accounting experience
  • Experience in computer applications

Preferred Skills:

  • Associates degree
  • Relevant certifications
  • SAP experience

Equipment and Software Knowledge:

  • Computers,

  • Telephone systems,
  • MS Office Word, Power Point and Excel,

Work Environment

Working in an office or a cubicle, ability to work with little or no supervision as well as in a team, working scheduled regular hours or extended and weekends if necessary.

Physical Job Requirements

  • Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 45 lbs., any objects 50 lbs. or more assistance is mandatory; perceive depth and operate a motor vehicle.
  • Conditions may include working inside and/or outside. May work around machines with moving parts and moving objects. Working near radiant and electrical energy. Working closely with others or working alone. Working extended or irregular hours and travelling by all possible modes of transportation.
  • Equipment (machines, tools, devices) used in performing the essential job function include but not limited to computers and related equipment, calculators, copiers, fax machines, telephone and vehicles. Ability to wear proper personal protective equipment (PPE), including but not limited to, safety glasses, hardhat, reinforced toed shoes, coveralls, gloves, and ear plugs or muffs.
