Essential Duties and Responsibilities

         Process and file accounts receivable invoices

         Code charges to proper general ledger account and input into accounting system as needed

         Post sales direct to AR accounts and sales accounts daily

         Submit invoices to Customers by email, mail, ADP, Ariba, and other online systems

         Assist with clearing old credits and invoices past due

         Research past due invoice issues to improve collections

         Create credit memos to correct invoices or return overpayments

         Communicate with Customers to ensure invoices are approved for payment

         Communicate with all departments to obtain information on issues involving receivables and collections

         Provide support documentation for audits and verification of work invoiced

         Follow up with managers and employees for signatures, documentation, and other clarifications to ensure work is completed accurately and timely

         Participate in departmental and other relevant company meetings

  • Manage work station and practice good filing techniques
  • Ensure high accuracy of work product processing and submitting invoices
  • Assist with Customer credit review and AR collection efforts
  • Use logic to solve problems with effective solutions

         Flexibility to perform other relevant duties as required


Secondary Duties and Responsibilities

         Post Customer payments by applying bank deposits to AR accounts

         Help prepare daily cash collection report from bank account and lock box reports

         Apply foreign payments and notify District Accountants about collections

         Update receivables status by comparing collections to AR aging report

         Complete company training courses assigned to the position


Job Knowledge, Skills and Abilities

         Knowledge of accounts receivable processing including matching field tickets and posting invoices

         Knowledge of general ledger coding and basic accounting principles

         Ability to follow verbal and written instruction with limited supervision

  • Ability to present oneself with professional appearance and behavior in accordance with dress code and Code of Conduct.
  • Ability to meet company safety requirements
  • Ability to read, communicate, and understand the English language

         Ability to communicate effectively with managers and peers, both written and verbally

         Adhere to established company procedures and policies, work schedule, attendance standards and is punctual to work and meetings.

         Contribute to team effort by accomplishing related results and department goals

         Ability to work overtime when needed


Education, Experience, Certification, and Training

         High School Diploma or GED equivalent required; Introduction to Accounting course work preferred.

         2+ year of work experience in accounts receivable or payable and general ledger coding.

         Proficient in Excel, Word, and Outlook and familiar with accounting software.

         Highly accurate data entry skills required.

         Previous experience with general ledger accounting systems preferred; SAP experience a plus.

  • Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 25 lbs., perceive depth and operate a motor vehicle.
  • Conditions may include working inside and/or outside. May work around machines with moving parts and moving objects. Working near radiant and electrical energy.         Working closely with others or working alone. Working extended or irregular hours and travelling by all possible modes of transportation.
  • Equipment (machines, tools, devices) used in performing the essential job function include but not limited to computers and related equipment, calculators, copiers, fax machines, telephone and vehicles. Ability to wear proper personal protective equipment (PPE), including but not limited to, safety glasses, hardhat, reinforced toed shoes, coveralls, gloves, and ear plugs or muffs.
